You can either request delegation be enabled at the Helpdesk or set it up yourself. Below is the full process for setting up delegation yourself:
Gmail delegation lets another person read, send, and delete emails in your account without sharing your password.
How to Set Up Gmail Delegation
- Open Gmail on a computer.
- Click the Settings (gear icon) at the top right, then click See all settings.
- Go to the Accounts and Import tab.
- Find the section called Grant access to your account, and click Add another account.
- Enter the email address of the person you want to add, then click Next Step and Send email to grant access.
How the Delegate Accepts Access
- The delegate checks their inbox for an email invitation from Gmail.
- The delegate clicks the confirmation link inside the email within one week (or the link expires).
- Access syncs and becomes active in up to 24 hours.
What Delegates Can and Cannot Do
- Allowed: Read, send (shows the delegate's sent status), and delete emails.
- Not Allowed: Change account passwords, use chat, or access personal account settings and integrations like Google Drive or Gemini.
- Limits: Personal accounts allow up to 10 delegates; Google Workspace work or school accounts allow up to 1,000 delegates.
